Alpha Legal's new "Share & sign" feature is looking good!

We're adding new features to Alpha Legal every week. This week we've been improving the document sharing sub-system.

One of the latest features we're working on is a new "Share & sign" option for documents you want to share with a client when you need them to sign to say that they have read and agreed.  A Terms of Business document would be the perfect example.


Simply tell the system who you're sharing with and who needs to sign:

Good riddance 2020... but Happy Christmas anyway!

Here's hoping that 2021 is a better year for all of us.  Don't think it could be any worse than 2020.  My heart goes out to the companies who are struggling to keep afloat in the quagmire of coronavirus restrictions and all of the people who have lost their jobs through no fault of their own.

At Start Software, we've managed to mix working from home and working from the office and the business has grown again thanks to the support of our wonderful customers. The "new normal" does feel completely different, though... this time last year we were in New York for a team Christmas trip and this year we can't even go to the pub down the road!!

Gone Phishing? What to do when you get a dodgy email

"Phishing" is one of the most common cyberattacks.  You'll get an email (usually), a text or a phone call by someone pretending to be someone else, to try and get confidential information from you.

Perhaps you've had an email from your bank asking you to click to confirm a few details, or from the Inland Revenue asking you to claim an unexpected tax refund? That's phishing.

How can you spot a fake email from a real one?

  1. The message will often be "too good to be true".  Anything that appears to be too good to be true, probably is, and should ring alarm bells.

  2. There will be a sense of urgency.  You'll be persuaded to act now or miss out in some way.  Take a breath and think before you click.

  3. Hyperlinks will be nearly right but not quite.  Hover over the link before you click and check that it matches the sender's details exactly.

  4. The message will include an attachment.  Banks and other institutions never send emails with attachments as they know they can be dangerous.  So avoid emails with attachments and never save or open files attached to emails unless you know the sender and were expecting the communication.

  5. The sender isn't someone you recognise or the email is a surprise.  Be suspicious and perhaps contact the sender another way to check that the email is legit.

Chris Danks, Chartered MCSI, has just used Alpha Legal to novate his clients across to his new IFA practice.

He's just sent us this summary of his experience using Alpha Legal:

"We used the Alpha Legal software to assist us with securely and safely novating our clients via their E-signature agreement to Countrywide Estate Planning IFA. Given the situation we were in and the worsening pandemic, it was simply not possible to visit clients individually to obtain their client agreements.

The two-step authentication process provided by Alpha Legal ensured the e-signature process was secure and efficient. We are able to track which clients have signed their agreements and those who need to be contacted. The speed of response was critical for us in this challenging time as clients still need servicing. 

We were really pleased with the results having used the Alpha Legal software."

He went on to say that some clients were resistant to using technology (or didn't have a smartphone) but those clients were easy enough to identify and deal with the "old way" with a paper copy of the documentation.  If Alpha Legal makes the job easier for 90% of clients, that's a big win!

Alpha Legal improves your cybersecurity - what else can you do?

Our new Alpha Legal product, built for will writers, estate planners, IFAs and solicitors, will massively reduce risk in your business by securing communication between you and your client.

But what else can you do to improve your cybersecurity?  Here are our top tips:

  1.  Make sure your email password is different to all of the others you use.  If a hacker gets into your email, they can change the password on most of your other systems and websites.  So keep that one separate!

    Alpha Legal is the solution to email security issues - it's simple, safe and secure.  Use it and relax!

  2. If you find "random" passwords a pain, try the "3 word password" trick.  Think of passwords that are made up of 3 words that mean something to you, but not anyone else.  For example LightMiniBlue or SimonBeerDarts.  You might have to add a special symbol too, so MouseHatGame$ might be the style to choose.

  3. Most browsers will now offer to store passwords for you to help with Internet shopping, for example.  This is safe so go ahead - and if you log in to your browser first, you'll be able to use different devices (laptop, tablet, phone) and still be able to use the saved passwords.

  4. If an important website offers you "two-factor authentication" or "2FA", use it.  It will mean that you need a password and your phone when logging in.  We use this feature in Alpha Legal to ensure that only your client can access important messages, forms & documents you have shared with them.

  5. Make sure your laptop, tablet and phone are set to auto-update.  Security issues are constantly found and fixed by Microsoft, Google & Apple and keeping your device updated will help to protect you.

  6. Back up your important data! Use a cloud backup service to keep your important files and photos safe in case something happens to your main device.

Dan, Tom & I have just finished recording a "teardown" webinar for Alpha Software.  We use Alpha Software's Alpha Anywhere development platform to build our systems and they asked us to show how we built Patient InnovationsOnTimeCare - one of the best looking and most polished applications we've ever developed.

After I gave an OnTimeCare presentation at the Alpha Devcon last month, we were contacted by lots of Alpha developers worldwide who were interested in our development techniques.  I brought out the Start Software "big guns", Dan & Tom (it will be Jack & Ferry next time!), to show the methods we used to create OnTimeCare - a supercharger for medical practices around the world.

"Lockdown 2" update from Start Software

It's "business as usual" here at Start Software as we enter the second England-wide lockdown.  I feel like we've been here before!


Although some of our staff are working from home for the next 4 weeks, our 24x7 personal support service will remain available to all of our software customers including our Alpha Tracker asbestos system users.

If you need us, we'll be here for you.  Simple as that!  See you on the other side...


Support challenges for us in October 2020

We've had a difficult month on the support desk on the back of a busy autumn for new sales of our asbestos software, Alpha Tracker.

You can see from the chart that our performance has dropped for high priority calls to 86.5% and for all calls to 83.2%.  This is the first time in more than a year that we've not resolved at least 9 out of 10 calls within the timescales set by our clients.

Jess, Will, Elaine and the team are reviewing their procedures to make sure we improve during November, although the "lockdown 2" working restrictions are sure to make this a challenge.


Alpha Tracker Release 33 highlights

We're really pleased with Release 33 of our asbestos software, Alpha Tracker, and hope you are too!

We've called this update the "AI" release as we've added intelligence into so many areas of the system.  Here's a short highlights video to show you three new features in particular:

Alpha Tracker Release 33 - the "AI" release - is now available

We've been hard at work adding extra features to our asbestos software platform, Alpha Tracker.

Release 33 is now available with more than 450 new features, bug fixes and performance improvements.  Yes, more than 450!!  In this release, we've focused on "AI" powered features adding intelligence and convenience to many parts of the system including:

  • a vastly improved experience for the lab when using the new fibre analysis features

  • a completely rewritten quotation sub-system with improved graphics and follow-up workflow

  • immediate, intelligent data checks on asbestos data submitted by asbestos software from the field helping you get your asbestos reports right first time!

Release 33 is the update to Alpha Tracker Release 32 which was made publicly available back in the Spring.

Keep an eye on the blog for the video introducing the new features and the full set of release notes.  They should both be available in the next few days.

Release 34 is now underway and is the "cloud release" with more features linking Alpha Tracker to the cloud for document storage and improved editing of reports and other documents.

Hundreds of UK teachers have died from asbestos exposure over the last 15 years

Elaine spotted this piece of dreadful asbestos-related news: https://www.mirror.co.uk/news/uk-news/scandal-almost-300-british-teachers-22787332.  Nearly 300 British teachers have died from exposure to asbestos in the last 15 years.


The general public still believes, mistakenly, that asbestos is an "old problem" because the dangers have been known for years and it is no longer used as a construction material.

However, our asbestos software Alpha Tracker is capturing information about asbestos in situ in buildings across the UK and beyond each and every day, with hundreds of asbestos surveyors using the Tracker Mobile software to find more asbestos in buildings year-on-year.  We already have the biggest database of asbestos items in the world (we believe) with more than 30,000,000 items of data collected in our system.

As a company, we will continue to raise awareness about asbestos through our software and our links with Mesothelioma UK, our corporate charity.

Risks of using email for secure communications raised at legal industry round-table event

We were pleased to be part of an industry round-table event hosted by Today's Wills and Probate where we discussed risk in the legal industry, in particular in the setting of the COVID-19 "new normal".  So many solicitors and will writers are now only dealing with clients by virtual or remote means and so issues surrounding cybersecurity and safe working are even more important than usual.

Asbestos training plummets during Coronavirus pandemic

This is worrying.  The UK Asbestos Training Association (UKATA) has announced that the level of asbestos training in the construction industry has dropped to a 5-year low.


Prior to the Coronavirus crisis, an average of 18,000 workers a month completed asbestos training. Over the last six months (March-August), an average of 6,000 workers a month undertook asbestos training delivered by UKATA-approved training providers, a fall of more than 66%.

As a reminder, more than 5,000 people a year die in the UK from asbestos-related diseases and the number continues to rise.

As a company, we do everything we can to promote the awareness of asbestos and the importance of safe management and working practices alongside sound asbestos software (eg Alpha Tracker).  We hope that this drop in the level of training proves to be a "blip" and that it returns to normal throughout the rest of 2020.

Alpha Tracker Release 33 ready next week

The quotation engine has had a major revamp and we think you'll like the new colour coding and built-in follow-up mechanisms.

We've also improved the client portal again with new graphs and dashboards available for your customers to use.

Alpha Tracker passes latest "penetration test" with flying colours

A penetration test (or "pen test") is a type of security test which simulates a hacker trying to find and exploit security vulnerabilities in software systems.

We regular subject asbestos software Alpha Tracker and our other software systems to pen tests in order to check that there are no security holes which a hacker could exploit.

The latest test was carried out by one of our asbestos consultancy clients following a request from a new NHS client of theirs.  Our client paid a cybersecurity consultancy to penetration test the Alpha Tracker software to verify that it was secure.

No high priority issues were found at all, and only one that was categorised as medium risk.  This was dealt with by a simple change to server configuration.

In all the years we've been involved with penetration tests, this is an incredibly good result and shows the constant security updates and patches we apply to Alpha Tracker really pay off and are worth the hard work from the team.

Asbestos specialist AsMATT Ltd chooses asbestos software Alpha Tracker

We're really pleased to announce that specialist asbestos consultancy asMATT Ltd has chosen asbestos software Alpha Tracker.


AsMATT, based in Billericay, Essex, is insured to carry out extensive surveys on domestic and commercial properties to find out if asbestos is present and whether or not it poses a health risk.  

All surveys are carried out in compliance with HSG 264 control of asbestos regulation 2012, with samples being tested by an independent UKAS accredited laboratory.

Once complete, findings are presented to the client as a comprehensive written report detailing results and recommendations.

The last of the six topics I cover is why you cannot and must not use emails for exchanging sensitive informationEmails are not secure.  Our solution to the problem is Alpha Legal - do take a look for yourself.

What happens at Start Software when something goes wrong?

I wish we were perfect but 20 years of being in business has taught me that things will go wrong.  However many checks and balances are put in place, sometimes a combination of events will mean that a bug in our software impacts a customer.

So, we have a process that we follow.  Our hard-earned ISO9001 certification means that we have documented processes which enable us to contact the customer(s) affected, back-track to find out when the problem occurred, resolve any data issues, resolve the underlying cause, and then report back.  We also discuss any such issues at our next ISO9001 certification visit.

We've just had one such issue.  When we analysed the problem, we found that fewer than 50 fibre analysis records across the millions of records captured and analysed in Alpha Tracker were found to be faulty because of a software bug.  50 is 50 too many of course!

A detailed piece of work to find the root cause and fix it is now complete and we've contacted and apologised to all affected customers.

PS congratulations to Darroch McCartney at our Alpha Tracker client ABS for their recent ISO9001 success, it was his LinkedIn post that prompted me to write this article about our own ISO9001 activity!


We're still the only asbestos software provider to publish support desk performance stats each month!

We absolutely believe in openness and transparency.  We want our customers to know how long they will have to wait if they need to log a support call with us.  This is especially for asbestos surveyors who are working out in the field and need help with their Tracker Mobile asbestos data collection app.  They don't want to be waiting long for help!

Every month, we publish our support stats so all of our customers can see how we are doing.

In August, 91% of high priority calls were resolved within 2 hours or the timescale set by the customer.  That's really good news if you're waiting for help.

A very warm welcome to MDK Analytical asbestos consultancy to the Alpha Tracker family!


Based in Carrigtwohill, County Cork, MDK is the latest Irish asbestos consultancy to choose Alpha Tracker to be their asbestos software system.
