Microsoft Teams <-> Alpha Tracker integration improved. New Tracker Filer now available

Tom has released a new version of our Tracker Filer product to improve the link between Microsoft Teams and your Alpha Tracker diary.

When you're setting up a Microsoft Teams meeting, try including your Tracker Filer email address as an attendee, like this:

Add your special Tracker Filer email as a meeting attendee

You'll see the meeting appear in your Alpha Tracker diary with the notes carried through from the Teams meeting.  Really handy!

One feature we forgot to mention is that if you cc Tracker Filer when you are sending emails to key contacts at your clients, the Account Management screen will automatically track those emails and add them to the count of contacts made.  This is a really handy feature and helps you to be confident that you are keeping in touch regularly with the most important people at your clients.

New versions of Tracker Filer and Tracker Document Maker available

We've released two important software updates and they are ready to download and apply to your system.

The two updates are:

Both updates contain feature improvements, security enhancements and bug fixes.

Tracker Filer can now add your Microsoft Teams meetings to your diary!

The latest version of Tracker Filer has a fantastic new feature.  It can automatically add your Microsoft Teams meetings to your Alpha Tracker diary!

How does it work?  

(a) If you are creating the meeting from within Microsoft Teams, simply add Tracker Filer as a meeting attendee and it will do the rest.

Add Tracker Filer to the list of attendees and the Teams meeting will appear in Alpha Tracker

(b) If you are invited to a meeting, forward the meeting invitation email to Tracker Filer and the meeting will appear in your Alpha Tracker calendar.

How do I get the new Tracker Filer on my system?

Call support (UK or Aus/NZ) and they will organise that for you.

Tracker Filer has been updated to help you with Account Management (in particular)

The beta test version of Tracker Filer has been signed off and the latest version has been released.  

This Tracker Filer update has an amazingly useful new feature - do watch this short video to find out more.

You can now cc Tracker Filer at your organisation even if you don't specifically mention a quote or project number.  Tracker Filer will look at the email address(es) you have sent or cc'd the email to, and then save the emails as records in the Alpha Tracker CRM module.

That might not sound like a game-changer but we've been using the feature in beta test for a few weeks and it has saved us hours of admin!  Do call and speak to Robin or Elaine if you want to find out more.

The latest version of Tracker Filer is nearly ready.  We're excited!

Tracker Filer is your "personal robot", filing emails and attachments into Alpha Tracker

Think of Tracker Filer as your email robot helper for asbestos software Alpha Tracker - it reads emails and files them in the correct folder.  It's always worked for quotations and projects (it reads the emails looking for quote references and job numbers) but we've added an amazing new feature.

It also now works for general emails sent to your clients, even those not related to a specific quote or project. 

For example, if you send a general "how's business" email to a key client, it will now intelligently file that email against the contact record in Alpha Tracker and update the new Account Management screen.  That means you can tell, at a glance, which key contacts need some attention and which you are overloading with spam!

We'll blog again soon when the feature is ready.  AI robots are here to stay!

New "Tracker Filer" available - great new feature!

The latest version of Tracker Filer is now available for download.

Tracker Filer is an automatic link between your email system and your Alpha Tracker document folders - it is utter genius, even if we say so ourselves!

Tracker Filer has always read the subject line and body of emails to look for quote references or project numbers, but it now also looks in the attachment filenames too - really useful if you're forwarding on a quote, for example, and you forget to put the reference in the email itself.

Here is an example email with a quote attached:

I've cc'd the special Tracker Filer email address as usual (1) but haven't put the quotation reference anywhere in the email itself.  Previously, this would have caused Tracker Filer a problem.  Not now! The updated Tracker Filer can now read the attachment filename (2) and see that the quote is BQ21-0104 and file the email and attachment correctly for you.

New Alpha Tracker feature - capture and log an enquiry direct from your website!

Do you have a "Contact Us" form on your website? Yes!

Do you want information captured to automatically be added to your Alpha Tracker asbestos software system as an enquiry so you take it through to a quote and hopefully win the business?  Yes!

Link your website's Contact Us form directly to Alpha Tracker enquiries

Our latest Tracker Filer update will give you this feature.  Enquiries entered on your website's Contact Us page can be added to Alpha Tracker with no retyping or copying/pasting!

The best part is that you don't even need to amend your website.  If the website is sending you the information from your Contact Us page via an email, new settings in Tracker Filer can be used to link that email to your Alpha Tracker enquiry database.

The June/July Alpha Tracker update's release notes are now available (SVN1500)

June/July 2015's monthly update to Alpha Tracker is now publicly available.  This is update SVN1500 with 100 new features and bug fixes!  Many of these updates will be of particular interest to asbestos surveyors and asbestos consultants using Alpha Tracker to run their asbestos consultancy.

The June/July combined update has 100 new features, improvements and bug fixes to the software since the April/May update.

All new features are fully documented in both the release notes and updated User Guides.

Tracker Filer v1.1 released

The latest Tracker Filer is now available and has a new "switch".  This new option allows you to operate Tracker Filer in two modes - it either searches the subject line of the email for the project number or it searches the subject and body.

The configuration is the place to look for the new option:

Open letter to all Tracker customers - Tracker 10 years on

The New Year is always a good time to reflect & plan and this year is especially important for us because it is the 10th anniversary of bringing Tracker to the market.

We’ve been at the top of the asbestos consultancy industry for a decade now and we intend to continue for another 10 years more (at least!).

2012 saw some huge changes to Tracker including:

- massive improvements to Tracker Mobile including mix-and-match support for iPhones, iPads, Android tablets & smartphones

- new features in Tracker Dashboard giving you the information you need to run your business delivered direct to your Inbox

- a brand new module – Tracker Filer – acting as an extra pair of hands, filing emails and attachments in your Tracker system

- new options and facilities within Tracker Web Server connecting you to your customers better than ever before

- the option to record lab data directly on iPads within Lab Tracker

- another new module – Resource Tracker Sync – to give you the option of synchronising your Resource Tracker diary to Google or Exchange calendars.

Our next plans include a fully “cloud” based version of Tracker (called “Alpha Tracker”) which we’ve been working on for 9 months now and launching this product into a number of foreign markets, starting with Australia.  There is some early information here: http://start-software.com/tracker/modules/alpha-tracker/.

We know we’re not perfect but we continue year on year to improve our service to you and we continue to improve our helpdesk (see http://start-software.com/support/performance-charts/).  At our last ISO9001 inspection we passed with flying colours again which was a testament to my team’s continued hard work.  We’ve also launched a brand new portal for you, our customers, which enables you to have direct access to the information about projects and problems we are working on for you.

For our business to continue to grow we need to keep our existing customer base and build upon it with new companies coming on line with Tracker.  This year has seen a number of new Tracker users including some of the industry’s biggest consultancies as well as some of the smallest too.  What is really satisfying is that surveyors leaving existing Tracker businesses and starting their own businesses often ask us for our Tracker Lo-Start system – Tracker genuinely is popular with directors, management and surveyors alike.

We are now working to complete Alpha Tracker whilst starting a new project in conjunction with the University of Wolverhampton to bring “smart tag” RFID technology to the asbestos consultancy market.  If you are interested in being the first consultancy to use this exciting new technology, get in touch and I can explain what it could mean to your business.

Tracker Filer v1.0 launched

Tracker Filer is an exciting new module for Tracker which will be of huge benefit to all Tracker customers.

Tracker Filer links your email system and the Tracker project folders.  It works quietly and efficiently reading emails sent to it (at the special email address trackerfiler@yourcompany.com) and then filing the emails and attachments in the appropriate Tracker folder.

How does it know which folder to use?  It reads the email looking for Tracker project numbers! What if it can't find a project number?  It emails you back to ask you which project number to use!

You can even "cc" or "bcc" emails to Tracker Filer - so, for example, when you send an important email to your client with the plan of works for the job, cc trackerfiler@ and the email (and attachments) will be filed for you.
